The Rental Process
Presenting your property for lease
If your home is vacant – It is important to present your property at its optimum to ensure its features are displayed at their best. We recommend that you invest some time cleaning, tidying and a spruce up of outdoor spaces is desirable. We have long standing relationships with home stylists, maintenance companies and tradespeople that we regularly work with, who can help at short notice.
If you have vacating tenants, we will work with them to ensure your property is presented well and arrange a suitable time for photography and inspections. If there is a need to do some repairs or maintenance, we would discuss this with you prior.
Marketing
In a crowded marketplace, you need to attract every possible applicant with a cost-effective campaign that showcases your property. It’s all about matching it with an excellent tenant and we use all major portals and social media to ensure we quickly reach the right people.
At most times we have a waiting list of pre-qualified tenants and can provide you with a short list of applicants generally within 48 hours.
Our goal is to ensure that vacancies are always kept to a minimum and that our managed properties stand out from the competition. We carefully select and then upload videos where appropriate, the best photos, emphasising living zones, car accommodation, the location and lifestyle characteristics suited to current demand.
Tenant Selection
This is where our team excels, strictly adhering to trusted procedures of checking identification, employment references, rental history and accessing the National Tenancy Database. Due to your Managers’ experience and length of service with our firm, our team have developed relationships with real estate companies all over Australia and can often talk directly with other Property Managers to verify references.
Tenant checklist
An application will only be considered if the prospective tenant has inspected the property.
- Upon application, we require 100 points of identification. Selected from a Driver’s License, Passport, Proof of Age card, Pensioner Card, Birth Certificate, Medicare Card, and current utility notices.
- Income verification – current payslips, a letter from employer, bank statements, Centrelink statements, professional references.
- National Tenancy Database search (TICA) and our Creditor Watch subscription for those applicants with an ABN.
- Reference checks – comprehensive tenancy history through previous agents, personal and professional references.
- Above all, you have the final decision and will always be contacted prior to approval. Prospective tenants are only accepted with your authority.
Property Inspections
We utilise the latest Property Tech application called Inspection Manager to provide you with a regular and comprehensive inspection report. This app produces a detailed record of your property, including up to 100 photographs, for future reference and allows us to compare the property’s condition from commencement to vacating date. When a lease commences, we inspect the property at three months to ensure all is well, then at 6 and 12 months. Owners are always welcome to attend these inspections, and in fact, we encourage it.
Communication
We know that communicating quickly and effectively with you regarding maintenance, banking and lease administration is crucial for peace of mind.
When setting up your management profile in our systems, REX and RP Office, we record your preferred method and place of contact, specific contractors for repairs or inspections and instructions around all other matters relating to your property. Some of our owners have a “Do Not Disturb” note on their file and leave everything to us, while others choose to be actively involved. Should you need to contact us, you’ll be provided with your property manager’s direct office number, and if they are unavailable, our front office and trust accounting staff will assist or arrange for a return call.
It may be interesting to note that we act for and communicate regularly with our owners all over Australia and worldwide. These include a professional athlete based in Japan, a motorsports commentator living in Dubai and others in Bali, China, Singapore and the United States.
Many of these properties are former family homes and will likely be occupied by our clients again at some time in the future. We take the responsibility very seriously and will do the same with your property.
